This privacy policy is issued by Innomatic in its capacity as data controller and applies to:

  • Category 1: the processing of personal data as a result of browsing the website www.innomatic.be or social media channels;
  • Category 2: the processing of personal data of (the contact persons of) customers in regular assignments;
  • Category 3: the processing of personal data of (the contact persons of) suppliers, subcontractors and other business partners;
  • Category 4: participation in an Innomatic event or webinar;
  • Category 5: participation in an Innomatic competition or survey;
  • Category 6: the processing of personal data of applicants.

Innomatic will handle your personal data – i.e., information that can identify you as an individual – with great care, taking appropriate measures to prevent misuse, loss, destruction, damage, unauthorised access, unwanted disclosure, or unlawful processing.

Innomatic processes your data in accordance with the principles of lawfulness, fairness and transparency, purpose limitation, data minimisation, accuracy, storage limitation, integrity and confidentiality.

Innomatic wishes to inform you through this privacy policy about:

  • which personal data are collected and how;
  • for what purposes and on what legal grounds your data are used;
  • how they are protected;
  • with whom they are shared;
  • whether your personal data are transferred outside the EEA; and
  • how long they are retained.

It also explains how you can exercise your rights concerning the collected information.

This transparency ensures that you can make informed decisions when providing your personal data.

This is in accordance with the European Regulation 2016/679 of 27 April 2016 on the protection of personal data (GDPR) and the relevant supplementary Belgian legislation.

Innomatic may change this privacy policy at any time. The latest version of the privacy policy will be published on the website www.innomatic.be . It is therefore advisable to check it periodically. Where your prior consent is required under applicable law, Innomatic will contact you and await your consent.

What personal data does Innomatic collect?

Innomatic limits the collection of personal data to what is necessary to meet the purposes described below.

Category 1: For regular visitors to the website or social media channels:

  • Behavioural data such as browsing behaviour, IP address, device type, location, date and duration of use of the website and operating system, usually via cookies;
  • Through the contact form: name and email address (mandatory), and any other information you voluntarily provide;
  • Newsletter subscription: first name, surname, and email address, plus technical data such as whether the email was opened;
  • Data from your interactions on social media, such as profile information.

 

Category 2: For (contact persons of) customers:

  • General personal data: first name, surname, telephone number, email address, position, company name and address;
  • Behavioural data obtained during execution of assignments;
  • Bank details where applicable (not from prospects).

 

Category 3: For (contact persons of) suppliers and other business partners:

  • General personal data as above;
  • Other information you provide;
  • Bank details where applicable.

 

Category 4: For participants in an Innomatic event or webinar:

  • General personal data: first name, surname, telephone number, email address, position, company name and address;
  • Information provided for event preparation (e.g., specific questions);
  • Possible photo and video material taken during the event;
  • Bank details (if the event is paid).

 

Category 5: For participants in an Innomatic competition or survey:

  • General personal data;
  • Information you provide, such as answers to survey questions.

 

Category 6: Regarding the processing of personal data of applicants

  • General personal data: such as name, telephone number, and email address.
  • Behavioral data:
    • Education and employment history;
    • Potential salary information and assessment results;
    • Data you provide directly to us, for example by submitting your cover letter and CV (such as your photo or social media profile on LinkedIn) or information shared during the interview;
    • Information obtained from third parties, such as headhunters, employment agencies, or public sources.
  • Special or sensitive data: these are only processed if you explicitly provide them to us and give your consent for their processing.

You may have provided your personal data to Innomatic, for example, by browsing the Innomatic website, submitting a contact form, or emailing us. Some personal data are provided directly by you, while others may be collected automatically, such as information about your browser, your interaction with the website, your IP address, or via public databases such as the Crossroads Bank for Enterprises.

Please inform Innomatic of any changes to your personal data if this information is relevant to us. Innomatic strives to keep your personal data accurate.

Marketing communications and newsletters

If you are a client of Innomatic, your email address, first name, and last name may also be used to promote additional or similar services or products to you, or to provide you with industry-related updates. This is based on Innomatic’s legitimate interest.

You may always request not to receive such information. In the context of direct marketing, you may exercise your right to object at any time.

If you separately subscribe to a newsletter or promotion without being a client, your consent will be requested for the processing of your email address, first name, and last name. In cases where the promotion is based on consent, you may request at any time that Innomatic stop sending such information or newsletters.

Marketing cookies may be used on the Innomatic website. Your consent for these is always requested via the cookie pop-up banner.

 

Participation in events and webinars

We process your personal data to complete your registration, to grant access to the event or webinar, to keep you informed, to provide you with additional information, and afterwards to evaluate the event or webinar.

Primarily, we process these personal data based on your request to participate in the event or webinar (performance of a contract), but where applicable, also based on your consent (e.g., for taking targeted photographs), or on our legitimate interest, for example, to ensure the smooth running of the event or webinar and to display the atmosphere on the website, social media, and newsletter (non-targeted photographs).

 

Participation in an Innomatic contest or survey

Primarily, we process these personal data based on your request to participate in the contest (performance of a contract), or with your consent in the context of participating in surveys.

 

Use of personal data in the recruitment process

Innomatic may use your information in the context of its recruitment process and with a view to entering into an employment contract with you. This includes, for example: searching online for suitable candidates, interviewing candidates, assessing or determining your suitability for the position you have applied for, and email communication during the recruitment process.

It is also possible that we process information based on your consent, such as a photo you include in your CV. If you provide such consent, we may contact your previous employer.

 

Legal obligations and safeguarding of rights

In addition, Innomatic uses your data to comply with applicable legal obligations.

For example, this includes mandatory requirements related to the preparation of invoices.

Furthermore, Innomatic processes your personal data to safeguard its rights in the event of disputes.

For instance, in case of a dispute, your personal data may be used to send you the necessary correspondence.

If Innomatic were to process your data based on a different legal basis or for another purpose, you will be provided with all relevant information in advance, and your consent will be requested if necessary.

Innomatic does not use automated decision-making or profiling that produces legal effects concerning you or otherwise significantly affects you.

 

What protective measures has Innomatic implemented?

Innomatic has implemented administrative (such as the use of passwords and confidentiality agreements where necessary), organizational (e.g. appropriate storage methods, regular backups, restricting access to those who need the data) and technical measures (e.g. antivirus software, securing network connections through the use of Secure Socket Layer (SSL)) to protect your personal data.

Innomatic also strives to take appropriate measures in the future, always taking into account the specific nature and scale of its activities, the state of the art, implementation costs, as well as the context and purposes of processing, and the varying likelihood and severity of risks to the rights and freedoms of individuals. Please be aware that interaction over the internet always entails certain risks.

Innomatic’s website may contain links, plug-ins or interfaces to external websites. If you provide personal data to such websites, their own privacy rules will apply. These parties act primarily as data controllers, and their respective privacy policies will therefore govern the processing of your data.

 

With whom does Innomatic share your personal data?

Innomatic shares your data with parties that assist Innomatic in the performance of its services, such as IT providers for data storage, subcontractors, its accountant, insurance companies (e.g. in the context of a claim), and financial institutions.
Innomatic has appropriate agreements in place with these parties (for example, by concluding a data processing agreement). They only receive the information necessary to provide their service and may use this data solely for the performance of their contracted tasks.

If Innomatic ever ceases its activities or transfers them to another entity — for instance, in the event of bankruptcy or a business sale — this may result in your personal data being transferred to third parties who will wholly or partly take over our activities. In such a case, we will inform you in advance to the extent reasonably possible, although you understand that this may not always be technically or commercially feasible.

Your personal data may also be shared with competent authorities if they lawfully request such information. Innomatic will inform you of this, where possible.

It is also possible that you may ask us yourself to share certain data with third parties as part of the execution of a specific assignment.

 

Are your personal data transferred outside the EEA?

Innomatic may transfer your personal data to other countries. In the event of a transfer to countries outside the European Economic Area (EEA), Innomatic will continue to take all necessary measures to safeguard your rights regarding personal data and to ensure their security and integrity.

In most cases, your personal data will be transferred outside the EEA on the basis of an adequacy decision or the Standard Contractual Clauses approved by the European Commission.

 

How long does Innomatic retain your personal data?

Innomatic will not retain your personal data for longer than is necessary.

Customer and supplier data are retained for the duration of the customer or supplier relationship and for a maximum of three (3) years thereafter.

If you receive promotions or general sector information via a newsletter or other communication channel, your first name, last name, and email address will be kept until you unsubscribe.

For participation in seminars, webinars, or contests, we retain your information for up to one (1) month following the respective event.

Applicant data are stored for up to four (4) weeks after completion of the recruitment process, unless you have given us permission to retain your personal data for a longer period (for example, to contact you about future vacancies). In that case, your personal data will be kept for a maximum of one (1) year from the date you granted your consent.

Furthermore, Innomatic retains the necessary personal data to comply with legal obligations, such as tax regulations regarding data retention. In this context, data may be stored for up to seven (7) years, counted from 1 January of the following year.

Innomatic also retains the necessary data to safeguard its rights in the event of disputes (the limitation period for contractual liability is ten years, and for non-contractual liability until the end of the legal proceedings).

After the retention period has expired, the data will be deleted.

 

What are your rights?

You have several rights regarding your personal data:

  1. Right of access and right to obtain a copy
    You have the right to request access to your personal data and to obtain information about its processing at any time. Innomatic will provide you with a copy within a reasonable period and free of charge.
  2. Right to rectification, erasure, restriction, and withdrawal
    You may request the correction or deletion of your personal data, or the restriction of processing (for example, while Innomatic verifies the accuracy of your data). You may also withdraw your consent where processing is based on consent.
  3. Right to object
    In certain cases, you have the right to object to the processing of your personal data for legitimate reasons. For example, you may object to the use of your data for direct marketing purposes.
  4. Right to data portability
    You have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to transmit those data to another controller.
  5. Right to lodge a complaint with the competent authority
    You may also lodge a complaint with the competent data protection authority.

All of these rights apply within the framework and limitations of the applicable legislation. You may also bring a claim for damages before the competent civil court.

 

Applicable law and competent court

This privacy policy and the processing of personal data are governed exclusively by Belgian law, unless mandatory legislation provides otherwise

All disputes should preferably be settled amicably. If this proves impossible, any disputes arising from this privacy policy or the processing of personal data shall fall under the exclusive jurisdiction of the courts and tribunals of Innomatic’s registered office, unless mandatory legislation dictates otherwise.
